The Board is requested to amendment the contract between Diana Phillips Consulting and the County of Durham. The County entered into a contract on October 10, 2018 and extended the contract period to June 30, 2020 on July 1, 2019. The purpose of this contract is to provide Professional Consulting Services associated with the Cott Real Estate Conversion project. This project converts our old telephone system index into a searchable electronic index. The contact was extended by $10,000 to $40,000.00 but the contract terms remained the same.
The County, on behalf of the Register of Deeds, now desires amend the terms of the original agreement to include additional professional services estimated to $30,000.00 not to exceed $70,000. Quality is being performed on our records which are in cursive therefore additional time is necessary to review the index for correctness.
The funds utilized for this amendment portion of this Appropriation for were granted in the 2020 budget from the Automation/Restoration Fund (N.C.G.S.161-11.3) and approved by the board int July of 2019.

County Manager’s Recommendation: The County Manager recommends that the Board entering into the contract amendment with Diana Phillips Consulting to include the additional professional services and to increase the contract to a amount not to exceed $70,000.
